We are seeking a high-functioning, highly organized Executive Assistant to provide comprehensive administrative and operational support to the Chief Executive Officer (CEO) and Senior Vice President of Operations (SVP). This is a critical role for a professional who thrives in a fast-paced, executive environment and can anticipate needs, manage competing priorities, and maintain exceptional attention to detail.
The ideal candidate is proactive, polished, discreet, and confident working directly with senior leadership. This individual must be comfortable handling confidential information, coordinating complex schedules, managing travel logistics, and supporting day-to-day executive operations with minimal supervision.
This is a hybrid position based in Dallas, Texas, requiring the ability to report to the office a minimum of three days per week, with additional in-office days as directed by the CEO.
Key Responsibilities
Executive Support
- Provide high-level administrative support to the CEO and SVP of Operations, serving as a trusted partner and gatekeeper.
- Manage multiple complex calendars, including scheduling internal meetings, external meetings, executive-level calls, and travel-related calendar adjustments.
- Coordinate meetings across time zones, ensuring accuracy, preparedness, and seamless execution.
- Prepare executives for meetings by confirming agendas, participants, locations, and required materials.
- Handle sensitive and confidential information with discretion and professionalism at all times.
Calendar & Meeting Coordination
- Maintain and prioritize executive calendars to maximize efficiency and minimize conflicts.
- Schedule and coordinate meetings across platforms including Zoom and Microsoft Teams.
- Reserve conference rooms, manage meeting logistics, and ensure technology readiness.
- Order food, refreshments, and catering for meetings, leadership sessions, and special events.
- Coordinate internal and external meetings with professionalism and strong attention to detail.
Travel & Expense Coordination
- Arrange all executive travel, including airfare, hotel accommodations, and car rentals.
- Prepare detailed travel itineraries with confirmations, directions, and contact information.
- Monitor travel schedules and proactively adjust plans as needed due to changes or delays.
- Assist with expense tracking, receipts, and documentation in accordance with company policies.
Administrative & Operational Support
- Draft, format, and proofread correspondence, reports, presentations, and internal documents.
- Maintain organized digital filing systems and document management practices.
- Support operational initiatives, special projects, and executive priorities as assigned.
- Act as a liaison between executives and internal teams, external partners, and vendors.
- Assist with office coordination tasks related to executive presence and leadership meetings.

- Maintain a professional appearance and demeanor consistent with an executive office environment.
- Demonstrate strong interpersonal skills when interacting with leadership, staff, partners, and guests.
- Represent the executive team and organization with professionalism, discretion, and confidence.

Required Qualifications
- Minimum 5+ years of experience as an Executive Assistant or Senior Administrative Assistant supporting C-suite or senior executives.
- Proven experience managing multiple executive calendars and coordinating complex schedules.
- Demonstrated experience booking and managing air, hotel, and car rental travel arrangements.
- Advanced proficiency in:
- Google Workspace (Gmail, Calendar, Drive, Docs, Sheets)
- Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Zoom and Microsoft Teams
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Exceptional written and verbal communication skills.
- High level of discretion, integrity, and professionalism.

- Experience working in healthcare, behavioral health, or fast-growing organizations.
