OVERALL PURPOSE OF THIS ROLE:
To provide technical and physical assistance to the Donor & Volunteer Experiences team. This position supports the preparation and onsite implementation for corporate, community, and special event opportunities in Orange, Osceola, and Seminole counties and frequently contributes to event logistic support, including manual labor and operating company vehicles.

KEY ACCOUNTABILITIES:
Event Support
  • Assist with in-office deliveries, supply organization, and inventory through onsite receiving and processing supply orders as they arrive.
  • Assist with offsite events, including HFUW signature events, volunteer outings and corporate group activities. Approximately 3-4 per month, up to 6 per month.
  • Support Event Manager and Volunteer Managers during a variety of events and activities, including pre-event sorting and loading, serving as staff leads onsite and during set-up/break-down, assisting with participant registration/check-in, and other support tasks as requested.
  • Attend community events (volunteer fairs and other informational tabling style activities) as an ambassador of the organization, including set up and break down.
  • Provide support for distribution of donated items as needed including monitoring pick-ups at the office/event location or driving company vehicle to recipient locations.
Administrative Projects
  • Conduct research relating to venues, materials costs, organizational practices and other subjects as needed to support efficiencies of the experiences team.
  • Maintain organization of supply closets and inventory under the guidance of the Donor and Volunteer Experiences Coordinator. Assist with pulling needed inventory for upcoming events and activities.
  • Attend weekly Experience team meetings, and other regular large-scale team meetings to maintain communication relating to upcoming events and roles.
  • Assist with event preparation and follow up communications as needed.
  • Attend staff role trainings for events, provide support onsite relating to training materials as needed.
  • Assist with responses to external and internal event inquiries as needed.
  • Provide support to Coordinator in collecting needed data for event participation evaluations and tracking of volunteer hours. Assist with logging results into CRMs (Andar, Golden) as needed.
  • Follow internal standard operating procedures to complete interdepartmental tasks. 
  • Contribute feedback to the database of partner agencies, volunteer affiliates/hosts, materials suppliers, and other departmental resources to enhance the planning process for group volunteering.

  • Position includes evening and weekend events as needed.
  • Provide stellar customer service to internal and external customers.

PHYSICAL DEMANDS:
Physical demands include sitting or standing for extended periods of time, bending,  lifting of items weighing up to approximately 30 pounds, regularly moving throughout the building between floors, traveling to outside meetings, regular use of standard office equipment such as the telephone, copier and computer.  Demands also involve protracted concentration.  Reliable transportation and a valid driver’s license is required, ability to operate passenger van and similar vehicles.  Job involves frequent interactions with internal and external customers, and routinely intense public contact.

EDUCATION AND EXPERIENCE:
  • High school diploma or GED required.
  • Strong attention to detail required. 
  • Willingness and experience working in an environment requiring frequent transition from planning, facilitating to frequent manual labor.
  • Experience operating a company cargo/passenger van.
  • Experience with customer service required. 
  • Must be able to prioritize heavy workload in fast paced environment.
  • Must be personable with excellent verbal and written communications skills, and be able to interact with a variety of individuals/organizations while maintaining confidentiality and professionalism. 
  • Excellent reading, writing, and proofreading skills preferred.
  • Demonstrate proficiency with Windows and Microsoft Office Suite, ability to use common office equipment such as copier and fax required.
  • Prior experience working with volunteers, events and corporate clients preferred.
  • Comfortable public speaking and engaging with clients preferred.
