    The incumbent of this position is responsible for the management of the office of the Chairman of the Department of Surgery and supporting the Vice Chair and Administrative Director.  The individual assists in managing the day-to-day operations of the office on the Hospital side, and coordinating multiple projects within the Department of Surgery.  This person is also involved in coordinating the work of Administrative Assistants who support divisions within Surgery.

    The Executive Assistant:

    • Coordinates the daily functions of the Office of the Chairman of Surgery. Uses judgment in determining those matters which require the immediate attention of Chairman or Administrative Director, acts upon those that do not require personal attention, or refers them to the appropriate official.
    • Trains and orients the secretarial/administrative assistant staff to the office of their division they support.
    • Directs and manages work of students and other volunteers.
    • Participates in the internal administration of the office, making recommendations and engaging in the dissemination of administrative office policies.
    • Reviews and certifies time and attendances for employees as time keeper and works with Administrative Director to resolves inaccurate or incomplete time records.
    • Forwards various requests for service and assistance to the Chairman, Administrative Director or other appropriate director or manager.
    • Collaborates with administrative director and the Medical Dental Staff Office to ensure physician licenses and privileges are up-to-date.
    • Answer telephone calls, greet visitors and resolve complex inquiries. Establishes, maintains, revises and provides control systems for office files and record keeping. Prepares and distributes reports and worksheets as instructed by the Chairman or Administrative Director. Maintains the Chairman and Vice Chair’s appointment schedule.
    • Transmits information as delegated by Chairman or Administrative Director to ad hoc Work Groups, Department Heads, Chairmen, and Division Chiefs.  Follows through to ensure conformance to deadlines and compliance with policies and procedures.  If necessary, reports to the Administrative Director any findings which require further clarification.
    • Assumes other duties and responsibilities that are related and appropriate to the position and area.  The above responsibilities are a general description of the level and nature of the work assigned to this classification and are not to be considered as all-inclusive.
    • Promotes adherence to the Health Sciences Compliance Program, the Howard University Code of Ethics and the Health Sciences Standards of Conduct.
    • Attends annual and periodic mandatory Compliance Program training including the Health Insurance Portability and Accountability Act (HIPAA) Privacy training.
    • Participates in activities that promote adherence to federal healthcare program requirements.
    • Actively participates in Health Sciences Compliance Program activities
    • Adheres to the requirements of the HIPAA Privacy Policies and Procedures.
    • Maintains confidentiality of patients, families, and staff.
    • Knowledge of administrative, budgetary, financial and managerial methods, techniques, procedures and principles.
    • Ability to plan, organize and coordinate.
    • Ability to fully utilize software applications pro-efficiently including the use of spreadsheet, databases, graphics, or project management programs.
    • Ability to delegate, supervise and train other administrative assistants.
    • Ability to interact with varying levels of personnel and external contacts.
    • Ability to work independently.
    • Ability to establish and maintain effective and harmonious work relationships with staff, physicians, Hospital and University officials, and the general public.
    Minimum Requirements:
    • High School Diploma or GED. Bachelor’s degree preferred.
    • Five (5) years of progressively responsible administrative experience.

    Required Skills

    The hours for this full time position are Monday-Friday, 8:30 am-5:00 pm with the occasional 7:00 am start as needed.
