    The Administrative Assistant: 
    • Facilitate patient workflow operations through patient scheduling for clinic and sleep lab, confirming insurance prior authorization, and initiating patient registration daily
    • Performs general office duties such as establishing and maintaining official documents and records in appropriate files; ordering supplies; sorting and distributing mail, including faxes and emails.
    • Answers electronic communications and phone calls, directing calls to appropriate parties, or takes messages.
    • Conducts research, compiles data, and prepares correspondence/documents for consideration.
    • Greets and screens visitors and assist and answers routine questions during clinic.
    • Reviews a variety of materials, including reports memos, and letters for content and recommends changes were appropriate.
    • Responds promptly and appropriately to questions/concerns/complaints and attempts immediate resolution.
    • Assumes other duties and responsibilities that are related and appropriate to the position and area.  The above responsibilities are a general description of the level and nature of the work assigned to this classification and are not to be considered as all-inclusive.
    Minimum Requirements: 
    • Associate’s degree or two (2) years of college or business school
    • Two (4) years of related secretarial experience

    • Identify minimum competencies required to perform the job, including knowledge, skills, abilities, and other characteristics required of an employee to successfully perform the functions and duties of a job.
      
    • Knowledge of the office policies, procedures, activities associated with the department/designated work area
    • Excellent customer service and problem resolution skills; ability to use tact and courtesy when speaking with visitors, department staff, and/or management.
    • Working knowledge of computer applications (e.g. Microsoft Office, Adobe Acrobat, etc).
    • Familiar with working with confidential information
    • Ability to work independently and complete multiple tasks in a timely manner
    • Ability to use office equipment (fax, computer, photocopier, etc).
    • Ability to create and distribute routine reports
    • Effective oral and written communication skills
    • Attention to detail; capable of completing multiple tasks in a timely manner
